How to Track File Versions on Box

Every file in your Box account has a version number, and Box automatically keeps track of all of the file versions. If you make changes to your document using Box Edit or upload a new version of it, Box will automatically replace your old file with the new one. This is called versioning. There is no need for version control or version numbering because the file name can remain the same. When the need arises, Box’s version history feature allows you to go back and review previous versions of a file, with the possibility of recovering them.

Part 1 Logging into Box

1. Go to the Box website. Open an Internet browser, type https://app.box.com/ in the address bar, and hit Enter.

2. Access your Box account by entering your username and password. Continue by entering your Box account username and password in the fields provided, then clicking the “Log in” button to proceed.

Part 2 Uploading a New Version of a File

1. Navigate to the Files and Folders section. Locate the header menu at the top of the page when you are on the main page. Locate the third icon from the left, the one with the folder icon on it, and click on it. To access the Files and Folders page, click on this link.

The root folder is “All Files.”

2. Look for the file on your computer. Navigate through your Box folders by clicking on them until you find the file that you’d like to replace with a newer version of the document.

3. Open the file on your computer. Once you’ve located the file, simply double-click it to open it. The contents of the file will be loaded so that you can see what it contains.

4. Create a new version and upload it. An action bar can be found in the upper right-hand corner of the screen. The last icon before the word “Exit” is a three-dot icon; click on this to proceed.

A menu will appear; select “Upload New Version” from the drop-down menu, and a dialogue box will appear, allowing you to upload the new file.

5. Choose the new file from your computer’s hard drive. On the Upload New Version window, select the file you want to use by clicking the “Select file” button. It will open the Windows file explorer as a result of this action.

Navigate through your hard drive until you find the new file that you want to upload and click on it. When you’ve located it, double-click on it to make it active. To begin the upload process, click on the “Upload” button.

There may be a difference in the filenames of the old and new versions of the document.

6. Take a look at the new file. As soon as the upload is complete, your old file will be deleted and replaced with the new one that you have just uploaded. It will be automatically opened for your viewing pleasure.

Part 3 Reverting to an Older Version of a File

1. Navigate to the Files and Folders section. Locate the header menu at the top of the page when you are on the main page. Locate the third icon from the left, the one with the folder icon on it, and click on it. To access the Files and Folders page, click on this link.

The root folder is “All Files.”

2. Look for the file on your computer. To replace a file with an older version, navigate through your Box folders by clicking on them until you find the file you want to replace it with.

The version number and the letter “V” will appear on the right-hand side of any files that have a history of revisions (version history).

3. Download a previous version of the software. To open the file, click on the icon with the letter “V” on it that appears below the filename. It will be possible to view the file’s version history.

File names, upload dates and times, and the identities of those who uploaded the various versions will all be properly labelled.

The version numbers will be displayed in front of each version, and the statuses of each version will be displayed below each version in the table. The word “Current” will be displayed next to the current version.

Older versions will have two additional options: one for downloading and another for updating it to the most recent version.

If you want to download the version you want, simply click on the Download link.

4. Activate an older version of a programme as the current version. In order to perform a version replacement by making an older version the current version, select the “Make current” option from the drop-down menu. With this action, the current file version will be replaced with the one you just chose.
